  • Creating screenshots for tutorials – we have been working with WCEU and others on improving documentation to support newer contributors using the tools, E.g., Google Docs, Trello, Slack etc. We’re seeking help from individuals who can gather some specific screenshots and text specific to the Marketing onboarding.

#WPTranslationDay Mini Events

Update provided by @webcommsat

Trello card: https://trello.com/c/5sN6ODcf

The global WordPress Translation Day usually takes place mid May. With WCEU taking place early June, that was not possible for 2020. There is ongoing work on this event, including encouraging polyglots to work together and smaller scale events. One is this Friday for the French-speaking WordPress community. @webcommsat has been asked to support the community-wide marketing and is also representing the global WordPress Translation Day team. Thanks to @audrasjb and other team members which are co-ordinating the French-language event.

Staying Connected – picture mosaic

https://trello.com/c/KNOyWADa

Thanks to @webcommsat for this contributor mosaic idea and to @michellefrechette, @macgraphic and other contributors during the virtual coffee breaks this week for exploring ways to do this. The original concept was for a wall of pictures to highlight how contributors are still staying connected, reduce the sense of isolation and show that members are continuing to contribute to the global WordPress project.

Michelle will be co-ordinating this task. She will create ‘walls’ of 16 photos with messages from contributors.

How can you help?

  • Create a picture of you at your work station
  • Optional: hold up a sign that says any of the following
    • Stay
    • Home
    • Healthy
    • Connected
    • Stay Home
    • Save
    • Lives
    • Save Lives
    • Stay Healthy
    • Stay Connected
    • Stop the spread
  • Please send your picture ASAP but before 29 April 2020 deadline. We will get started creating the galleries as soon as we have the first 16 images.
  • Once we have a Marketing example, we will open up the opportunity for other teams to create a similar ‘wall’.

Virtual Coffee Break

Update provided by @miker and @webcommsat

Trello card: https://trello.com/c/Ix7fNA05

What are they?

Virtual Coffee Breaks are informal virtual sessions held on web conferencing tools. They take place several times a week. If you’re on a limited bandwidth connection, or rather use video for other reasons, you can also connect with audio-only.

Marketing team members can check the latest schedule and join.

Review

Feedback about the Virtual Coffee Break sessions amidst this global crisis of coronavirus outbreak has been incredibly positive and well-received. Some changes to times have been made to accommodate more timezones. These will be reviewed again at the end of next week.

Thanks to @webcommsat, @yvettesonneveld, @JillianSMaxwell, @timbb, @maedahbatool, @nullbyte, @Meg Phillips, and @Michelle Frechette for working to support this provision. Thanks to everyone who attended.

How can you help?

If you’re able to help volunteer and are available regularly for one or more of the weekly time slots, and/or if you’re willing to act as the web conference provider using your Zoom Pro account, please contact @webcommsat or @JillianSMaxwell

Developers’ communications Q&A

Update provided by @webcommsat and @Tim Butara

Trello card: https://trello.com/c/8XKGUx3h

The working group met on 14 April 2020 and included an introduction to newer contributors on writing for the WordPress marketing, background to the project and answering questions. The group has been exploring users’ questions to developers of plugins and themes, and typical communications a developer may want to make available to help users, particularly at this time.

Marketing team members were asked to share (from their own experience) what questions they typically have when considering or installing a pluginPlugin A plugin is a piece of software containing a group of functions that can be added to a WordPress website. They can extend functionality or add new features to your WordPress websites. WordPress plugins are written in the PHP programming language and integrate seamlessly with WordPress. These can be free in the WordPress.org Plugin Directory https://wordpress.org/plugins/ or can be cost-based plugin from a third-party. The group would continue to work on this during the week and at its next meeting. New contributors with an interest in this area were invited to join (more below).

How can you help?

  • If you would like to be involved in researching and writing this guide, please contact @Tim Butara
  • Please add any additional comments to the document in suggestion mode using the comments boxes.
  • The next meeting of the group will be on Tuesday 21 April 2020 at 2pm UTC.

Collaboration time:

  • A collaboration time took place during the meeting on the Developers’ FAQ task.
  • A post meeting call explored the Online Meetup marketing tasks and assisted new contributors to the project in ways they could get involved with this stream.

Other topics

Request to post more in the Slack channel and less using Direct Messages

Update from: @yvettesonneveld

Some Team Reps have been flooded with personal messages. We understand it may be scary to add to the conversation publicly, particularly if you are new to the project. But please scroll through the Slack history. We’re really helpful and inclusive here. Please add to the conversation in the slack Channel and only use direct message for topics that have confidential elements. It may be scary at first, but we promise you it will be fun really soon. Several new contributors confirmed their positive experiences.

Coronavirus/ COVID-19 Related Updates

Promotion of key public health info

Update provided by: @webcommsat

@webcommsat asked for input on how the marketing team can help the WordPress community during the coronavirus (COVID-19) outbreak. Some ideas were:

  • posting daily motivational / mental healthcare-related tweets
  • focusing on what will not be affected by COVID-19
  • posting regular content and information that can connect with the community
  • inviting motivational speakers, mental healthcare providers and business coaches for online meetups to share ideas and best practices for mindset, mental health and keeping your business healthy
  • curating and sharing (on social) playlists of WordPress.tv videos: on work-life balance, staying healthy, mindfulness, improving your blog;
  • hosting weekly Twitter chats with a special hashtag – we could get a lot of engagement that way
  • collecting and sharing tips and experience of companies with remote workers and useful tools
  • sharing fun things/ innovative ways of working from home with a campaign hashtag
  • avoiding the accidental spread of fear by what we produce by focusing on positive things and solutions
  • reminding people they are part of a global community to reduce feeling alone if they are restricted from going out or if they’re unwell
  • organizing a meetupMeetup All local/regional gatherings that are officially a part of the WordPress world but are not WordCamps are organized through https://www.meetup.com/. A meetup is typically a chance for local WordPress users to get together and share new ideas and seek help from one another. Searching for ‘WordPress’ on meetup.com will help you find options in your area. where a cross-functional group of community members can help people who have been hurt financially by covid-19 create or improve their digital marketing and/or create a digital revenue stream.
  • some hashtag suggestions were: #RemoteWorkMotivation, #StayAtHomeChallenge, #WPStayatHomeChallenge
sharing a series of info and tips on ways to keep the Meetup momentum going but now online
  • creating and publishing short videos or words from local organizers to share their stories on how they are working and contributing through the stay at home advice period

Virtual coffee break

Update provided by: @webcommsat

There seems a strong interest in regular virtual coffee breaks during the week to help counter some of the change in working environments or isolation being faced by many of our team members globally due to the coronavirus outbreak.

Ideas: have one or two regular time slots which members could join in the SlackSlack Slack is a Collaborative Group Chat Platform https://slack.com/. The WordPress community has its own Slack Channel at https://make.wordpress.org/chat/. channel or to an audio link and be able to share conversations with others. @webcommsat thanked everyone for sharing ideas , both in the channel, in other channels and by sending private messages. It was felt to be vital to protect people’s privacy/ work confidential backgrounds etc, and a group of contributors will continue to gather feedback and run some initial sessions before rolling out a set of dates.

How can you help?

If you’re able to help facilitate this and have availability for a slot or can provide a pro account video link, contact @webcommsat. To save bandwidth, attendees can decide to just use audio.

Some contributor generated ideas included:

  • scheduling two slots a week to cover different time zones.
  • recruiting contributors to host these meetups.
  • find contributors who are willing to use Zoom Pro account to host longer meetups. For shorter coffee breaks the standard 40 minutes would do.
  • schedule meetups focused on particular marketing topics.
  • recommend people with lower bandwidths and people who would prefer to not have video displayed to sign in using audio only.
  • Both Zoom, a video conferencing tool and Discord, an app for text messaging, voice and video chat were mentioned as viable options

Contributor events and onboarding documents

The Community Team continues to do an inspiring job of supporting WordCamps with all the follow-ups involved. Also, they have published an overview of the latest changes to WordCamps. Our thoughts go out to the WordPress events which are having to postpone or cancel.

Thank you to everyone who has helped, volunteered to do more or offered their contributor story for WCEU. We will continue to work with and support the WCEU team. Also, WCEU contributors alongside marketing team members are working on next steps for documentation to help onboard new contributors.

Lastly, WCEU contributors and marketing team contributors will work on publishing the contributor stories that resulted from the Call for Contributor Stories as published on the WCEU website

How can you help?

  • We’re in need of contributors with a journalistic background who can help with editing and publishing these contributor stories. Contact @webcomsat (@abhanonstopnewsuk on Slack) if you’re interested in helping out.

Task: Crisis communication for pluginPlugin A plugin is a piece of software containing a group of functions that can be added to a WordPress website. These can be free in the WordPress.org Plugin Directory https://wordpress.org/plugins/ or can be cost-based plugin from a third-party and theme developers

Update provided by: @webcommsat

A team is working on this and will be organizing a meeting to look at scenarios later this week. The purpose is to to prepare a document explaining types of scenarios developers may need to consider in terms of communications with their audiences

How can you help?

If you’re interested in working on this and able to take part in a zoom meeting, please reach out to @webcommsat (@abhanonstopnewsuk on Slack) if you haven’t done so yet, and you will receive a Doodle Poll link to help schedule a meeting.

What else can you do to help the Global WordPress Marketing Team

If you are likely to be able to help with materials, be a language buddy, or just be attending and like to work on marketing tasks at these events, please either add a note to the card or contact me on Slack. We appreciate that not everyone is comfortable with having attendance at an event listed on a searchable website.

Task: Component Maintainers post

Update provided by: @webcommsat, @JillianSmaxwell

Request:

  1. Component Maintainers/Core ContributorsCore Contributors Core contributors are those who have worked on a release of WordPress, by creating the functions or finding and patching bugs. If so, we would like your help and be able to capture the things that you particularly enjoy about the role to enthuse others. We may also be able to use some of this as quotes in a promotion post in marketing to be scheduled in the future, which would link to the updated page in Core.
  2. Second round editing help: Please add yourself to the Trello card if you have specialist knowledge of this area or reply to the thread in the meeting to @JillianSMaxwell if you are available to assist with technical queries / helping non-specialists understand the post/work of these maintainers.

  • Thanks to the team reps for their input into this. Welcome to @JillianSMaxwell who has joined the notes and actions group and is working with @yvettesonneveld, @webcommsat, and @mikerbg on how we can make more use of the tools the whole team can access.

Thanks to @webcommsat, @yvettesonneveld, @mikerbg, @siobhanseija, @harryjackson1221, @jenblogs4u, @maedahbatool, and to previous team reps and other contributors on the wider area of work.

    • easier for contributors to join in with the work of the Marketing Team, promote inclusion and reduce barriers caused by different timezones and availability
    • more effective in helping other teams be aware of our work, highlight relevant streams or cards at their meetings, and give input
    • support follow-ups, longer-term planning, and strategic marketing
    • generally make the information more user-friendly.

Contributor Events

Updates from: @webcommsat

Updates and how you can get involved

  • We received a good response from people wanting to be involved with contributor events, help new people with on-boarding and language barriers.
  • We are now seeking help with creating a way of mapping language assistance that might be available for particular contributor events which we are involved with.
  • If you are able to help with this or can help another member by being a language buddy, please contact @JillianSMaxwell, @webcommsat and @yvettesonneveld or add to the Trello card.
  • At this time, we really need language buddies who can help marketers when they are first getting started or contributing to a collaborative post.

Discussion continued about different ways marketing team members can help colleagues. If you are interested in helping explore this area within the team, these are some examples of what language buddies within the team could assist with:

  • helping translate major content pieces (e.g., we had some translate the digital citizenship story into German, Portuguese etc. so far. If you would like to translate this, let us know too. We also have a few other articles like this, e.g., the releaseRelease A release is the distribution of the final version of an application. A software release may be either public or private and generally constitutes the initial or new generation of a new or upgraded application. A release is preceded by the distribution of alpha and then beta versions of the software. schedule marketing post).
  • be willing to help work alongside other marketing contributors speaking in their native language to overcome any difficulties they are finding with using the tools etc.

Task Updates

Task: Organize a Virtual Marketing Table Session for WCAsia

Task lead for Contributing Events marketing group: @webcommsat
Update provided by: @webcommsat

Trello card: https://trello.com/c/ed14v1HD/319-virtual-marketing-table-drop-in-in-support-of-wcasia-contributor-day

Update

A lot of interest has been shown by the community in doing a virtual session on marketing using some of the prepared marketing table materials for WCAsia contributor dayContributor Day Contributor Days are standalone days, frequently held before or after WordCamps but they can also happen at any time. They are events where people get together to work on various areas of https://make.wordpress.org/ There are many teams that people can participate in, each with a different focus. https://2017.us.wordcamp.org/contributor-day/ https://make.wordpress.org/support/handbook/getting-started/getting-started-at-a-contributor-day/. including developing the language buddies idea.

Some ideas that we propose are:

  • a virtual, informal drop-in marketing session for those who had planned to attend or participating virtually on the marketing table at WCAsia Contributor Day itself
  • holding a virtual session in a couple of weeks/ some months time
  • a session could potentially include anyone who wanted to join from Cebu in the Philippines as they have also had to cancel their WordCampWordCamp WordCamps are casual, locally-organized conferences covering everything related to WordPress. They're one of the places where the WordPress community comes together to teach one another what they’ve learned throughout the year and share the joy. Learn more.. https://2020.cebu.wordcamp.org/
  • using the Marketing channel slack and our other tools for a virtual session or drop-in
  • target audience: marketing team and people who predominantly contribute to other teams but want to help on particular tasks, eg the language buddies work, sustainability and marketing videos.

Next steps:

  • feedback on what support and participation from within the team and those interested in marketing from other teams. This will help us decide on what could be possible within the timespan
  • potentially use a Doodle poll in addition to Trello and Slack for people to express interest.

Component Maintainers Post on WP Marketing

Trello card: https://trello.com/c/H6sis4Az/320-component-maintainers-post
Update provided by: @mikerbg . Thanks to @francina from the CoreCore Core is the set of software required to run WordPress. The Core Development Team builds WordPress. team for the request to marketing and to @webcommsat for setting up the Trello cards.

Updates

  • Received request from the Make Core Team which could be a great opportunity for our technical and development focused contributors. The task will increase the focus on the component maintainer role.
  • Background to Component Maintainers: these are some of the most important roles within the WordPress ecosystem, as they drive new features forward with each releaseRelease A release is the distribution of the final version of an application. A software release may be either public or private and generally constitutes the initial or new generation of a new or upgraded application. A release is preceded by the distribution of alpha and then beta versions of the software.. Without a strong component maintainer, features can struggle to gain traction. This task is aimed to help inform the community on this role.
  • Some of the key things component maintainers do are:
    • triage new tickets related to the component
    • help keep momentum on existing tickets
    • assist in keeping other teams updated on the status of a component during release
    • maintain the roadmap for a component
    • and propose new component features.

Task objectives

  • The main task is to re-write the component maintainer page. Core will be the final reviewer.
  • Direct questions to Core through the Trello card regarding any technical aspects or descriptions which need further clarifying
  • The revised content needs to help raise awareness of this role and aid future recruitment efforts.
  • Create some social content (short tweets and hashtags which could be used to encourage sharing). Though this content may have more limited social media reach, we are trying to include this aspect in future copy plans.

Next steps

  • @JillianSMaxwell and @MegPhillips91 volunteered in the meeting. Anyone else who is interested to collaborate may add their names to the Trello card or speak to @mikerbg
  • A second task has been requested from the Make Core Team. It focuses on writing an initial draft of the Release Focus Lead role, with similar objectives to this first task. This will be discussed at next week’s meeting.

Request to Task leads/ contributors

The group working on notes and actions would really appreciate if you could update your Trello cards or let @webcommsat or @yvettesonneveld know how you are getting on and what help you might need.

We are working towards having an ongoing open list of actions or follow-ups from previous meetings. So please do let us know if there is something from your tasks we could include in this section or would be useful to be a reminder in future meetings. The team reps are here to help support you and do keep in touch with them if you have a difficulty or need particular assistance from others in your task.

We will contact task leads or participants where we are unsure of an action, and really appreciate your replies so we can finalize actions and all work together on next steps. We hope this new system will make it easier for people to get involved and find tasks to use their skills. Thanks everyone for your feedback into this new approach and as we work towards putting it into place.

Next Meeting

Wednesday 26 February 2020, 15:00 UTC, in the Marketing Channel on Make WordPress Slack.
