Support for new contributors to marketing

In the run up to WordCampWordCamp WordCamps are casual, locally-organized conferences covering everything related to WordPress. They're one of the places where the WordPress community comes together to teach one another what they’ve learned throughout the year and share the joy. Learn more. Europe Contributor DayContributor Day Contributor Days are standalone days, frequently held before or after WordCamps but they can also happen at any time. They are events where people get together to work on various areas of https://make.wordpress.org/ There are many teams that people can participate in, each with a different focus. https://2017.us.wordcamp.org/contributor-day/ https://make.wordpress.org/support/handbook/getting-started/getting-started-at-a-contributor-day/. 2020, the Marketing Team will be running support and onboarding sessions. We’ve also made a video to help attendees sign-up for some of the tools ahead of the day.

The event for WordPress contributors at WCEU will take place on Thursday 4 June 2020. Tickets for the contributor event went live today on the WCEU 2020 website.

Onboarding support is a way for newer contributors to discover the open sourceOpen Source Open Source denotes software for which the original source code is made freely available and may be redistributed and modified. Open Source **must be** delivered via a licensing model, see GPL. WordPress project and its Marketing Team, learn about the tools used and find ways to get involved. The support sessions will include help to:

  • create a WordPress.orgWordPress.org The community site where WordPress code is created and shared by the users.   • set up SlackSlack Slack is a Collaborative Group Chat Platform https://slack.com/. Slack is an instant messaging and collaboration tool used by the teams that ‘make’ WordPress
  • set up a Google username you would like to use for contributing to the project

During every Marketing Team weekly meetings there is an opportunity to welcome new contributors and to help them get started. The global Marketing Team meets on Wednesdays at 14:00 UTC in #Slack. Attendees who would like to contribute to the marketing area at WordCamp Europe (WCEU) are also welcome to come along.

Who can come to these sessions?

These help sessions will be aimed at:

  • WCEU Contributor Day attendees who would like to contribute to the project’s Marketing Team
  • individuals who have recently joined the team – this is not limited to those who will be going to WCEU
  • longer term contributors who would like a refresher on the tools
  • more experienced contributors who want to help others who are new to the team

It will be a great way to come and meet team members.

There will be a sign-up list for each session to help us plan volunteer numbers and the use of video conferencing tools. This will also help us prepare assistance on particular tools.

As with all contributing events, we want to help make the WCEU Contributor Day experience positive and useful. We’re building on the set up we have used for other contributor events and feedback. This blog will be updated as the team has more details.

How do I offer to help with onboarding?

If you are an existing marketing contributor, please do connect with me or in the #marketing channel on Slack. As this year’s WCEU Contributor Day will run for five hours online, we will need to do more support on tools in advance. We’re keen to welcome even more team members to assist with this. You don’t need to be active on current tasks to help with onboarding, just experienced with helping others set up the tools we use.

Introduction 

These summary notes focus on key items and actions from the meeting and to assist with asynchronous contribution to the Global Marketing Team. For those unable to attend a meeting due to timezone issues, please do join the discussion or add any updates to the threads and tasks on Slack and Trello after the meeting. The notes are taken 48 hours after the meeting to encourage async contributions.

We recognize it is a very difficult time for our members and community. Google docs onboarding

For Google docs onboarding for new contributors and existing members who are unfamiliar with the tools or need a refresher, the focus will be:

  • setting up a Google e account or connecting an existing one to Google docs
  • how to use Google docs (basic intro)
  • how to add comments in suggestions mode
  • ways to word suggestions for changes in text can be accepted more easily, can continue to be read by others and for basic accessibilityAccessibility Accessibility (commonly shortened to a11y) refers to the design of products, devices, services, or environments for people with disabilities. The concept of accessible design ensures both “direct access” (i.e. unassisted) and “indirect access” meaning compatibility with a person’s assistive technology (for example, computer screen readers). Google sheets onboarding will focus on the tasks we are working on for WCEU

For Slack

  • downloading and installing the Slack app on the type of device they will be using
  • Setting up your account
  • noting the email address it gives them
  • getting back into slack
  • finding the #marketing channel within the Making WordPress Workspace
  • adding messages to it, using threads
  • finding out if anyone has an accessibility issue for slack and what we will do differently to help them
  • knowing when to add (how to avoid adding general enquiries when a meeting is taking place)
  • Direct Messaging (DM)
  • finding someone on slack including the two or three team reps who will be helping
  • other channels (so that they can find the WCEU channel which will be up on the day)

Without new contributors being onboarded and comfortable with Slack, it will be difficult to get involved with the tasks on the day.

  • understanding the difference between the main WordPress.org ID profile and the one for using in Support
  • adding info to the profile

  • how to use the Chat

We now urgently need to complete the list of volunteers who will be taking part in the onboarding support at these sessions and those who would be available to help with this at the event itself. The WordCampWordCamp WordCamps are casual, locally-organized conferences covering everything related to WordPress. They're one of the places where the WordPress community comes together to teach one another what they’ve learned throughout the year and share the joy. Learn more. Europe team is all geared up working towards conducting the first-ever online Contributor Day for WordCamp Europe. Preparations are in full swing. This online contributor day will take place on 4 June 2020. 

@webcommsat and others have been updating the Trello board ready for WCEU. Please can you update your task to help us move items further or adapt them for use at WCEU. Marketing team members are also preparing onboarding sessions to support newer members. Everyone involved is working hard to help WCEU be another amazing contributor event and we appreciate it. Thank you!

How can you help?

  • Create a screencast: Make a screen capture video with voiceover showing how to join the Make WordPress on Slack. Any personal login details captured would need to be removed. If you individually or in a small group who can volunteer to help on this, please add a note to the Trello card.
    • Actions: @yvettesonneveld to review video made by a Spanish WordCamp for joining the locale Slack and start a draft text which could be used for joining Make Marketing and adapted by others in their own language.
    • @webcommsat with WCEU to share a sheet with Polyglots and other teams to capture any other locales which may have similar screen capture videos for joining i) locale Slack and/or ii) Make WordPress team
    • If you can help with this, contact @webcommsat or @yvettesonneveld 
  • Guide for Google Documents: We need volunteers to work on an added guide for using Google documents specific to Marketing. This would suit members who are used to working collaboratively in Google documents and using features, like comments, replace text etc. In addition, a screen capture video could be an added feature too and this could be done by another person. 
  • Onboarding new contributors: There is going to be a pre-event onboarding session. We need people who have some experience with onboarding new contributors. As it is an online event, we need to try and help contributors in sessions which will be advertised to attendees before the event.

WordPress Online Meetups

The ongoing COVID-19 outbreak has meant in-person events in most parts of the globe. This has led to many WordPress MeetupMeetup All local/regional gatherings that are officially a part of the WordPress world but are not WordCamps are organized through https://www.meetup.com/. A meetup is typically a chance for local WordPress users to get together and share new ideas and seek help from one another. Searching for ‘WordPress’ on meetup.com will help you find options in your area. groups are now meeting online. We’re helping with the ongoing promotion of these events, working alongside the Community Team. Thanks to @nullbyte, @meher, @michelleames, @simonasn and @chaion07 for their ongoing work on this.

@simonasn and others have started work on a survey. We will be working on expanding the marketing and communications questions on this. This will be shared at a future collaboration session in the Marketing meeting. 

How can you help?

  • Please help us share the hashtag #OnlineWPMeetup with your local WordPress Meetup. If you can add the name and link to the Meetup you have shared this with to the Trello card we can add it to our spreadsheet.
  • A number of Meetups which could be suitable for an international audience or follow-up with interview with the organizers will be identified each week and promoted. We are working on a ‘press kit’ type / expanding reach approach so that these promotions can be shared and adapted by team members in their local networks. Please also share the items which will be posted on the Make WordPress LinkedIn.

Lazy loading and fasterwp workspace

You may know that companies in the WordPress ecosystem often work together. Some businesses recently collaborated on creating a standard as to how resources are excluded from lazy loading. We’re planning to create a content piece describing this.

This task will explain how some companies in the WordPress ecosystem collaborated on creating a standard on how resources are excluded from lazy loading. This feature is hoped to be implemented in coreCore Core is the set of software required to run WordPress. The Core Development Team builds WordPress. soon. They have created a Slack workspace to have better contact and facilitate discussion.

How can you help?

The task deliverables will be outlined as milestones. If you’re interested, contact @harryjackson1221 to find out more about the fasterwp Slack channel which has the relevant communication regarding this task.

A regular topic in the Virtual Coffee Breaks is food, difficulty in obtaining certain ingredients and motivation for cooking. @webcommsat has created a global cooking trail as a fun way to connect people, promote sharing of cultures and wellbeing. If you would like to take part in this during the current restrictions, here’s how:

Share your favorite recipe (with a picture) for others to try. You can join in by:

  • share a photo and recipe of something that you have cooked for others to try. Pick recipes that could be adapted to match food availability or cultural reasons
  • cooking at least one recipe that is shared, adjusting it for your needs, and taking a picture (before you eat it!)
  • use the hashtag #WPRecipeShare in your post

Staying Connected Picture Mosaic

This is another fun challenge that came out of a Virtual Coffee Break. @michelleames will create ‘walls’ of 16 photos with messages from contributors at or around their work stations. The deadline for the first wall of photos is 30 April 2020.

The original concept was for a wall of pictures to highlight how contributors are still staying connected, reduce the sense of isolation and show that members are continuing to contribute to the global WordPress project. 

How can you help?

  • Create a picture of you at your work  station 
  • Optional: hold up a sign with a key message. More details on the Trello card.
  • Once we have a Marketing example, we will share that with other teams in case they want to join in so that they can  or create a similar ‘wall’.

A working group is meeting weekly to collaboratively create an article that could help pluginPlugin A plugin is a piece of software containing a group of functions that can be added to a WordPress website. They can extend functionality or add new features to your WordPress websites. WordPress plugins are written in the PHP programming language and integrate seamlessly with WordPress. These can be free in the WordPress.org Plugin Directory https://wordpress.org/plugins/ or can be cost-based plugin from a third-party developers with creating helpful FAQ sections and help new WordPress users, linked to WordPress.tv videos. This is linked to other cards we have been asked to support in the Marketing Team. To help more people in the team get involved, a collaboration has been planned. The WordCampWordCamp WordCamps are casual, locally-organized conferences covering everything related to WordPress. They're one of the places where the WordPress community comes together to teach one another what they’ve learned throughout the year and share the joy. Learn more. Europe team is working on an online Contributor Day, to be held during the first online WCEU. This online contributor day will take place on 4 June 2020.

How can you help?

  • Onboarding new contributors – if you are an experienced contributor and can help with onboarding new people or those unfamiliar with the tools. To volunteer, please add a note to the Trello card.
  • Editing tutorial videos – Contributors with video editing skills to help us with some of the short videos/screen capture trimming to make it easier for on-boarding. @miker, @megphillips91, @yvettesonneveld, and @arnelcus offered to work on this.
  • Creating screenshots for tutorials – we have been working with WCEU and others on improving documentation to support newer contributors using the tools, E.g., Google Docs, Trello, Slack etc. We’re seeking help from individuals who can gather some specific screenshots and text specific to the Marketing onboarding.

WordPress Online Meetups

Since most in-person events are not permitted in many countries due to the public health emergency, many WordPress MeetupMeetup All local/regional gatherings that are officially a part of the WordPress world but are not WordCamps are organized through https://www.meetup.com/. A meetup is typically a chance for local WordPress users to get together and share new ideas and seek help from one another. Searching for ‘WordPress’ on meetup.com will help you find options in your area. groups now meet online. We’re working with the Community Team with marketing the WordPress Meetups, interviewing organizers and working on promotions.

Component maintainers document

Thanks to everyone involved. @yvettesonneveld is working on the component maintainers document later this week and we will be finalizing this next week for the CoreCore Core is the set of software required to run WordPress. The Core Development Team builds WordPress. Team.

The global WordPress Translation Day usually takes place mid May. With WCEU taking place early June, that was not possible for 2020. There is ongoing work on this event, including encouraging polyglots to work together and smaller scale events. One is this Friday for the French-speaking WordPress community. @webcommsat has been asked to support the community-wide marketing and is also representing the global WordPress Translation Day team. Thanks to @audrasjb and other team members which are co-ordinating the French-language event.

Staying Connected – picture mosaic

Thanks to @webcommsat for this contributor mosaic idea and to @michellefrechette, @macgraphic and other contributors during the virtual coffee breaks this week for exploring ways to do this. The original concept was for a wall of pictures to highlight how contributors are still staying connected, reduce the sense of isolation and show that members are continuing to contribute to the global WordPress project. 

Michelle will be co-ordinating this task. She will create ‘walls’ of 16 photos with messages from contributors. 

How can you help?

Virtual Coffee Break

What are they?

Virtual Coffee Breaks are informal virtual sessions held on web conferencing tools. They take place several times a week. If you’re on a limited bandwidth connection, or rather use video for other reasons, you can also connect with audio-only.

Marketing team members can check the latest schedule and join. 

Review

Feedback about the Virtual Coffee Break sessions amidst this global crisis of coronavirus outbreak has been incredibly positive and well-received. Some changes to times have been made to accommodate more timezones. These will be reviewed again at the end of next week.

The working group met on 14 April 2020 and included an introduction to newer contributors on writing for the WordPress marketing, background to the project and answering questions. The group has been exploring users’ questions to developers of plugins and themes, and typical communications a developer may want to make available to help users, particularly at this time.
